Data Retention Schedule

Walkie Pro

Last updated: 26 August 2026 Version: 1.0

1. Our position

We retain your content indefinitely. We do not automatically delete messages, photos, documents, voice memos, call recordings, transcripts, or summaries after any period of time.

This is deliberate and it is the premise of the product.

Walkie Pro exists so that everyone on a construction project has the same reliable account of what was said and agreed. Construction disputes surface long after the work — a payment dispute, a defect claim, a change-order argument two years on. A record that expired would be worthless exactly when it mattered most.

It also follows from how the record is shared. A call recording is not only your personal information — it is equally the record of every other person on that call. Deleting it at one participant’s request would take something from everyone else.

If you need content to expire, Walkie Pro is not the right tool for that content. We would rather tell you now.

2. Schedule

2.1 Calls and voice

Data Retention Deletable
Call recordings (audio) Indefinite No — not by you, other participants, or us
Call transcripts Indefinite No
Call summaries, per-job summaries, action items Indefinite No
Translations of transcripts and summaries Indefinite No
Voice memo audio Indefinite No
Voice memo transcripts and translations Indefinite No
Call metadata — who, when, duration, quality Indefinite No

These survive account deletion. If you participated in a call, your recorded voice and words remain after you delete your account.

2.2 Messages and content

Data Retention Deletable
Messages Indefinite Sender may delete a message from view; the record of the message persists
Photos and videos Indefinite Removable from view; underlying files persist
Documents and files Indefinite Removable from view; underlying files persist
Lists and list items Indefinite Editable and removable from view
Notes Indefinite Editable; deletable
Map pins Indefinite Removable
Frozen list snapshots Indefinite No — not by any means, including by us
Reactions, tags, follow-ups, read state Indefinite Removable

On “removable from view.” Removing content from view is not erasure. The stored file or row generally persists. We say this plainly rather than let a disappearing item imply deletion.

On frozen snapshots. A shared list snapshot preserves the text of every item and the identity of who was assigned to it, deliberately, so the snapshot stays intact regardless of later account changes. It cannot be modified or deleted by any privilege in our system. It is the one store nothing can reach.

2.3 Account

Data Retention
Profile — name, phone number, company, job title Until account deletion; name and phone number are retained after deletion — see §3
Email address Removed from your profile on deletion; retained in a restricted internal record — see §3
Profile photo Deleted on account deletion
Settings, preferences, follow-up lists Deleted on account deletion
Authentication sessions and tokens Until sign-out, expiry, or account deletion
Legal acceptance records Indefinite — evidence of which terms you accepted and when

2.3A Calls to people outside Walkie Pro

Data Retention Deletable
Recording, transcript, summary of an outside call Indefinite No
Unregistered contact record for the person called — phone number and a name taken from the caller’s contacts Indefinite. There is no expiry and no cleanup process No
The conversation created between caller and recipient Indefinite No

Voicemail is not recorded. If a call reaches an answering machine, we do not capture it.

One unregistered contact record exists per phone number, shared across everyone who calls it. If the person later joins and verifies that number, the record becomes their account and the call history transfers to them.

2.3B The job bulletin

Data Retention
Bulletin posts, including access codes in the details Indefinite. A post that expires or is cleared is retained, not deleted
Access grants and revocations Indefinite. Revoking stamps a timestamp; the record remains
Access requests, including the requester’s trade Indefinite. A request expires after 7 days but the record is kept, and stays visible in the access log
Public page links, including after expiry or revocation Indefinite, along with aggregate view counts
Aggregate page view counts Indefinite. No visitor IP addresses are logged

Nothing in the bulletin is purged. There is no scheduled cleanup for any of it.

2.4 Contacts

Data Retention
Hashed phone numbers and emails from address books While the uploading account is active, or until removal is requested
Records of contact-join notifications Indefinite

Non-users can request removal — see Privacy Policy §4.

2.5 Technical and operational

Data Retention
Crash reports and error diagnostics 90 days
Call infrastructure webhook events 7 days
Rate limiting records 30 days
Link preview cache 30 days
Usage and feature analytics
Server logs
Database backups 30 days

Content in a backup persists for the life of that backup, including content removed from the live system.

2.6 Billing

Data Retention
Subscription and entitlement records Life of account, plus 7 years for tax and accounting
Transaction records 7 years
Payment card details Never held by us. Apple, Google, or our billing provider handle payment

2.7 On your device

Data Retention
Cached messages, transcripts, summaries, media Until you delete the app or clear its data
Pending outbound messages Until sent
Authentication tokens Until sign-out

Data cached on your device is not separately encrypted by us beyond your operating system’s protections. If your device is unlocked, shared, or backed up, cached content may be readable. See Privacy Policy §10.

3. Account deletion

Deleting your account closes your access. It does not remove you from the record.

Removed: ability to sign in · email address from your profile · profile photo · settings and preferences

Retained: your name wherever it appears · your phone number · call recordings, transcripts, and summaries including your voice · messages, photos, videos, documents, voice memos you sent · lists, notes, map pins, snapshots · a restricted internal record containing your email address, kept so a recycled address cannot reconnect to conversations it no longer belongs to

Full explanation: Terms of Use §12 and Privacy Policy §9.

4. When we retain beyond this schedule

We may retain data longer where we must:

  • Comply with a legal obligation, court order, subpoena, or preservation request
  • Establish, exercise, or defend a legal claim
  • Investigate a security incident, fraud, or a violation of our Terms
  • Enforce our agreements

Where we receive a preservation demand, we preserve the relevant data until the matter resolves. See our Law Enforcement and Legal Process Policy.

5. Changes

We may update this schedule. The “Last updated” date shows when.

If we introduce automatic deletion of any category above, we will give notice before it takes effect, so you can preserve anything you need.
