How do I make a punch list and give items to my crew?

Make a list in a conversation, add items, assign each one to someone in that conversation, and tick them off. Everyone in the conversation sees it.

A list lives inside a conversation, and everyone in that conversation sees it and can tick items off. Make one from + beside the message box in a conversation, add items, and assign each item to one person in the conversation. To see all your lists, tap Lists at the top of Projects. Items have no priority, and a due date never sends a reminder.

Steps

Make a list

  1. Open the conversation the list is for. Tap + › List › New list.
  2. Give the list a name.
  3. Tap Add your first item and type each item.
  4. Tap Create list.

While you’re making a new list you can also start from a past list. Its items are copied in unticked, with no assignees, dates or attachments.

You can also press and hold a message and tap Add to list to put that message on a list.

Give an item to someone

  1. Tap the item.
  2. Tap Assign and pick a person. They get a notification, and the item shows under Assigned to you when they tap Lists at the top of Projects.
  3. To take it back, tap the item, then Reassign › Clear assignment.
  4. If they need a push, tap Nudge on the item.

Other item actions

Tap an item for Due date, Follow up, Mark as done, Edit item and Delete item. Delete item removes the item straight away, with no second question.

From a call

  1. Open the call record and go to Key points.
  2. Tap a key point tagged Suggested list.
  3. Tap Add to a list, then pick an existing list or tap New list.

Share or put away a list

Tap Lists at the top of Projects, then press and hold a list. Share to a conversation lets another conversation see it live, read-only. Archive hides it from your lists, and you can restore it later.

If it didn’t work

  1. Someone can’t see the list. They were probably added to the conversation after the list was made. A list can’t be shared back into the conversation it lives in, so start a new list there. Share to a conversation works for a different conversation.
  2. “Someone else is editing this list” One person edits a list’s items and name at a time. You can still tick items off, or try again in a moment.
  3. Nudge is missing. The item has nobody assigned. Assign it first.
  4. “Already nudged” You can nudge again after half an hour. The message shows how long is left.
  5. “No one to assign yet. Add people to this conversation first.” The picker has nobody to offer. Add the person to the conversation first.

What Walkie can’t do

  • Items have no priority, and there are no list templates or list types.
  • A list due date never sends a reminder to anyone.
  • You can’t assign an item to a trade, a company, or someone outside the conversation.
  • Someone added to a conversation later doesn’t see lists made before they joined.

Quick answers

Can I set a priority on a list item?
No. List items have no priority. An item has its text, an optional description, a due date, one person it's assigned to, and done or not done.
Does a list due date send a reminder?
No. A due date is a shared day that everyone on the list sees, and it never reminds anyone. For a reminder just for you, tap Follow up on the item.
Can I assign an item to someone who isn't in the conversation?
No. You can only assign an item to a current member of the conversation the list lives in. Add them to the conversation first.
Why can't someone I just added see the punch list?
People only see lists made while they were in the conversation. A list can't be shared back into its own conversation, so make a new list there.
Does Walkie make lists from a call by itself?
No. Items it hears show as key points tagged Suggested list, and you choose which list each one goes on with Add to a list.
How often can I nudge someone?
You can nudge again after half an hour, and only when the item is assigned to someone. The item shows how long is left.
